Planning Your Trip to Barcelona

As you prepare to join us for the 10th International Discussion Meeting on Relaxations in Complex Systems (10thIDMRCS) in Barcelona, it is important to ensure that you have all the necessary travel documents. Here are key details regarding visa requirements and how to prepare for your journey to Spain.

Do You Need a Visa?

  • EU Citizens: If you are a citizen of the European Union, you do not require a visa to enter Spain.
  • Non-EU Citizens: Citizens from many countries outside the EU may enter Spain without a visa for stays up to 90 days for tourist or business purposes. Please check the full list of countries whose nationals are exempted from visa requirements.
  • Visa-Required Entry: If your country is not on the exempt list, you will need to obtain a Schengen visa. This allows you to travel throughout the Schengen Area for stays up to 90 days within a 180-day period.

How to Apply for a Visa

  1. Determine Visa Type: Most attendees will require a short-stay Schengen visa.
  2. Locate Your Nearest Consulate: Applications must be filed at the Spanish consulate or embassy in your home country.
  3. Schedule an Appointment: Some consulates require an appointment, so make sure to book yours as soon as possible.
  4. Prepare Required Documents:
    • A valid passport
    • Proof of travel plans (including a copy of your registration to the congress)
    • Accommodation details
    • Travel insurance that covers medical emergencies
    • Proof of financial means for the duration of your stay

Visa Requirements

What specific documents you will need to carry with you when you travel to Spain all depends on your nationality. People travelling to Spain who are not part of the European Union or the Schengen Area and who need a visa must obtain the necessary permits, such as the ETIAS (only as from 2025).

Processing Times

Visa processing typically takes about 15 calendar days from the date of application. However, it may take longer during peak travel seasons or under special circumstances. We recommend applying as early as possible.

Additional Tips

  • Letter of Invitation: Upon request, we can provide a letter of invitation that you may use as part of your visa application.
  • Travel Health Insurance: Ensure that your insurance covers medical expenses with a minimum coverage of €30,000 within the Schengen area.

Invitation Letter Request

To request a personalised invitation letter, please email to Tecnhical Secretariat secretariat@10idmrcs.com. Please allow at least five business days to receive your letter via email.

Note that 10thIDMRCS technical secretariat cannot contact any embassies on your behalf. Applicants should bring all relevant documents with them to their interview. Furthermore, 10thIDMRCS technical secretariat has no control over the visa application process or the decision of the visa adjudicator in the embassy or consulate.

Call for abstracts

The Scientific Committee invites authors to submit abstracts to be considered for inclusion in the programme.

Authors must follow the guidelines for abstract submission set out below. Abstracts not conforming to these guidelines will not be considered.

General Conditions and Information

Abstract submission must be completed online via the Abstract Submission form in this website

Abstracts sent by email will not be accepted.

Submission of an abstract constitutes a formal commitment by the author(s) to present the work in person in Barcelona at the 10th IDMRCS 2025 Meeting, if accepted.

Failure to register for the Congress at least 2 months before the meeting will lead to the withdrawal of the abstract from the scientific programme.

Changes and corrections

Once submitted, it is not possible to make any corrections to the abstract content or information (above all authors list and details). Changes will not be included in the publications.

If accepted, your abstract will be published as submitted.

Please check the co-authors before sending, title and co-authors will be published in the program exactly as you send them.

Submission rules

  • Each presenting author can submit a maximum of 1 abstract (either 1 abstract for a talk or 1 abstract for a poster).
  • The final decision on acceptance or rejection of an abstract is made by the organizing committee. The talk can be moved to poster by the organizing committee according to reviewing process.
  • The submitting author of the abstract must be a presenting author (“the submitting author = the presenting author”).
  • The submitting (= presenting) author does not have to be the first author.

Method of submission

  • All abstracts must be submitted only via the online form that is accessible in the User zone. 
  • Abstracts sent by e-mail cannot be considered.
  • Authors can edit submitted abstracts at any time before the submission deadline. After the submission deadline abstracts will be locked and it will not be possible to edit them.
  • All correspondence concerning the abstract will be sent to submitting author’s e-mail address.
  • Authors will be notified about the delivery of their abstract by e-mail immediately. In case you will not receive confirmation within 24 hours, please check your spam folder. In case of no confirmation e-mail, please contact:  secretariat@10idmrcs.com

Guidelines for the Submission of Abstracts

Prepare a Word document with your abstract, you will have to upload it exclusively in the following format:

Abstract Format

Title: bold, 12 point Arial font
Authors: 11 point Arial font, superscript numbers are used to indicate the affiliations
Presenting author: name must be underlined
Affiliations: affiliation to be listed below the author names with 11 point italic Arial font
Text of ABSTRACT: 11 point Arial font, single line spacing, no more than 250 words (Background, Materials and methods, Results, Conclusion)

Withdrawal

If you want to withdraw an already submitted abstract, please notify us as quickly as possible at secretariat@10idmrcs.com stating the title and author of the abstract to be withdrawn.

Withdrawals are still accepted after the submission deadline.
